Project Visibility Principle

Where organisations undertake concurrent projects regularly, it is important that the Board of Directors or the Executive Management team has some means of supervising the delivery of each project against long-term corporate objectives.

Objectives

The senior management team must be able to see how the outcomes of each projects contribute to the business high-level objectives

The senior management team should be able to see the progress of all of the changes to the business resulting from projects in action at any particular time

The senior management team should be able to identify projects which are no longer meeting business high-level objectives and intervene to stop further investment in them

The senior management team must be able to identify the high-level objectives of the business (i.e. the "value drivers") that may not be met because there are no initiatives to attain them or because the relevant projects are delayed and must be able to intervene to take corrective action.

Our Approach

A regular process should be established to gather information about high-level business objectives.  Sponsors and Project Managers are expected to advise the Executive Management team of impending project proposals.

There should be a regular process to connect the relationship between the benefits analysis in each new project PID and the high-level business objectives.

Use a Project Dashboard to show the links between projects and corporate objectives.  The dashboard should also show the progress of each project and colour-coded to indicate the overall condition of projects.

The Executive Management  Team should update the project dashboard regularly using information gathered from project mangers on completed milestones and delivered benefits.

All project managers should meet with a representative of the Executive Management team regularly where they will make realistic assessments of the state of progress of each milestone in terms of achieved, on schedule, at risk of slipping, slipped.

The Project Dashboard should be reviewed regularly by the Board of Directors or Executive Management Team.  Where appropriate, the management team must not hesitate to intervene in, and even cancel, projects that are no longer relevant or appear unlikely to deliver the planned benefits.
